Role Overview
The Indigo Operations Coordinator plays a crucial role in supporting the Indigo team's day-to-day operations. Reporting to the Head of Operations, this position is responsible for providing comprehensive administrative support, assisting with mentor management, operational workflows, and mentor-student allocations. The ideal candidate will be detail-oriented, proactive, and comfortable working in a dynamic, cross-cultural environment.
Key Responsibilities
General Administrative Support (50%)
Provide comprehensive administrative support for the Indigo team, including correspondence with potential mentor hires and students interested in our programs.
Ensure students stay on track by following up with students, their mentors, and internal team members.
Implement and maintain Standard Operating Procedures (SOPs) to ensure consistency and efficiency.
Maintain and update student and mentor records and databases.
Mentor Management Support (20%)
Assist in the recruitment process, including managing communications with mentor candidates.
Support the onboarding process for new mentors, ensuring all necessary documentation is completed and they are well-equipped to support students.
Coordinate and organise quality review meetings with mentors.
Maintain mentor records, track their performance, and gather feedback.
Operational Support (20%)
Assist in analysing workflows and recommending process improvements to enhance efficiency.
Help implement new service processes across the department.
Support tracking of student progress and results, ensuring data accuracy and timely reporting.
Mentor Allocations (10%)
Efficiently coordinate the allocation of students to mentors, considering fit, availability, and location.
Provide timely guidance, support, and updates to mentors and the internal team when addressing allocation issues.
Expectations
Required Skills
Minimum of 1 year of experience in an administrative role.
Strong organizational skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Google Suite (Docs, Sheets, Gmail).
Ability to handle multiple tasks and prioritize effectively.
High degree of professionalism and ability to maintain confidentiality.
Proactive "can-do" attitude and the ability to work independently.
Comfort working in a cross-cultural environment.
